Terms and Conditions of Purchase and Participation – DroneTech World Meeting 2025

§1 General Provisions

  1. The organizer of the DroneTech World Meeting 2025 event and the owner of the online store available at www.dronetechpoland.com is the Foundation Institute for the Support of New Technologies, located in Toruń, ul. Jurija Gagarina 5/102, 87-100 Toruń, Poland, entered into the Register of Associations, other social and professional organizations, foundations, and independent public health care institutions of the National Court Register maintained by the District Court in Toruń, 7th Commercial Division of the National Court Register under KRS number 0000592392, NIP 9562315044, REGON 363276092, email address: kontakt@dronetechpoland.com.
  2. This document defines the rules of: a) using the online store, b) the ticket refund policy, c) participation in the event.
  3. Acceptance of these Terms and Conditions during the ticket purchase process constitutes acceptance of all its Appendices.
  4. Amendments to the Terms and Conditions do not affect the rights and obligations of the parties arising from agreements concluded prior to such amendments.

§2 Ticket Types

  1. Offline Pass (free of charge) – in-person participation without access to the online broadcast.
  2. Online Pass (PLN 35 gross) – access to the online broadcast via the dedicated PPV platform (PPV Stream S.C.).
  3. VIP Pass (PLN 1000 gross) – in-person participation with additional privileges: access to participation in the evening industry networking event (29.10.2025 r. Dwór Artusa Toruń). Benefits included in the VIP Pass cannot be transferred to third parties.

§3 Placing Orders

  1. Orders are placed exclusively through the form available on the website www.dronetechpoland.com.
  2. The condition for placing an order is providing true personal data and a valid email address.
  3. The sales agreement is concluded upon confirmation of the purchase and payment (except for free tickets).
  4. Tickets are sent electronically to the email address provided during the purchase process.

§4 Payments and VAT Invoices

  1. In the case of paid tickets, the Customer is obliged to pay the price indicated for the selected ticket type.
  2. Payments are processed via the Tpay system (Krajowy Integrator Płatności S.A., Poznań).
  3. Ticket prices include VAT.
  4. The Customer may request a VAT invoice for purchased tickets by providing invoicing details (name, address, VAT number) during the purchase process. The invoice is sent electronically.

§5 Ticket Handling

  1. Tickets are generated and sent through the Tickera platform.
  2. The Organizer is not responsible for errors caused by external system operators (Tpay, Tickera, Checkinera App) but will exercise due diligence to resolve them.
  3. Participants are required to present the electronic ticket at the event venue for verification by the event staff using the Checkinera App.

§6 Refund and Complaint Policy

  1. Detailed refund rules are set out in Appendix No. 1 – Ticket Refund Policy.
  2. Complaints should be sent to: kontakt@dronetechpoland.com.
  3. Complaints will be processed within 14 business days.

§7 Ticket Personalization

  1. All tickets are personal and issued in the name of the attendee.
  2. Tickets may not be transferred, resold, or reassigned to another person.

§8 Personal Data

  1. The controller of personal data is the Foundation Institute for the Support of New Technologies.
  2. Personal data may be transferred to the Department of Economic Development of the Marshal’s Office of the Kuyavian-Pomeranian Voivodeship in connection with the project “Promotion of Regional Economy”.
  3. Data are processed in accordance with GDPR for the purpose of order fulfillment and ensuring event security.
  4. Data may be transferred to technical operators, including PPV Stream S.C., solely to the extent necessary to provide online streaming services.
  5. The Customer has the right to access, rectify, and delete their data.

§9 Final Provisions

  1. The Organizer reserves the right to cancel, reschedule, or change the format of the event (including converting it to an online format) due to circumstances beyond its control, such as force majeure, governmental decisions, weather conditions, safety risks, or technical factors. In such cases, participants are entitled to use their ticket for the rescheduled date or request a refund in accordance with the Organizer’s rules, without the right to additional compensation.
  2. The Organizer is not liable for property damage, personal injury, or loss of profit resulting from participation in the event, unless the damage was caused by the Organizer’s intentional misconduct. In particular, the Organizer is not responsible for disruptions in online transmission caused by technical problems on the participant’s side or the network operator.
  3. Matters not regulated herein are governed by Polish law.
  4. The Organizer reserves the right to amend the Terms and Conditions for valid reasons without infringing upon acquired rights.

Appendix No. 1 – Ticket Refund Policy

  1. Offline Pass (free of charge) – not eligible for a refund; cancellation possible by notifying the Organizer.
  2. Online Pass (PLN 35 gross) – no right to withdraw from the agreement after the broadcast has started; a refund is only possible before the event start date.
  3. VIP Pass (PLN 1000 gross) – refundable within 14 calendar days from the date of purchase, but no later than 30 days before the event.
  4. All tickets are personal and non-transferable.

Appendix No. 2 – DroneTech World Meeting 2025 Event Regulations

§1 General Information

The event takes place on October 28–30, 2025, in Toruń: October 28 at the Aeroclub of Pomerania Airfield (Dronemageddon) and October 29–30 at the CKK Jordanki. Participation requires registration and a valid personal ticket.

 

§2 Dronemageddon (October 28, 2025 – Aeroclub of Pomerania Airfield, Toruń)

  1. Participation is possible only after obtaining additional approval from the Organizer.
  2. The event area is divided into test and audience zones.
  3. Entering the test zone is strictly prohibited.
  4. Participants take part at their own risk, acknowledging the experimental nature of demonstrations.

 

§3 Scientific and Business Section (October 29–30, 2025 – CKK Jordanki, Toruń)

  1. Includes DroneTech Expo, DroneTech Conference, B2B Brokerage Event (Enterprise Europe Network – EEN, Toruń Branch, and Toruń Regional Development Agency – TARR), and workshops.
  2. The Organizer reserves the right to change the program.
  3. Seating at the conference is guaranteed only for VIP ticket holders.

 

§4 Safety and Conduct Rules

  1. It is prohibited to bring dangerous items, alcohol, or narcotics.
  2. It is prohibited to operate private drones without the Organizer’s permission.
  3. Participants must follow the instructions of security and technical staff.
  4. The Organizer reserves the right to remove any participant violating the rules without refund.
  5. Minors may participate only under the supervision of a legal guardian.

 

§5 Liability

Participants are responsible for any damage caused by their actions during the event. The Organizer is not responsible for lost items, theft, vehicle damage, or consequences of force majeure.

 

§6 Recordings, Copyright, and Image Rights

  1. The Participant consents to the recording and publication of their image in promotional materials of the Organizer, including online, in social media, live broadcasts, and sponsored publications – without time, territorial, or quantity limitations, and without remuneration.
  2. All materials shared during the event (recordings, presentations, graphics, streams) are the property of the Organizer or their authors and are legally protected. Copying, recording, retransmission, or commercial use without the Organizer’s written consent is prohibited.
  3. It is forbidden to independently stream or broadcast the event without the Organizer’s consent.

§7 Final Provisions

The Organizer reserves the right to amend these regulations for valid reasons.
